Pro Portal OMS Integrations: Overview
How the Pro Portal connects to your office management system to give patients Lace Pro automatically, and which setup guide to follow.
Connect your office management system (OMS) to the Pro Portal, and your patients get their Lace Pro license automatically. When your team records a fitting in your OMS, the Pro Portal creates the patient, assigns a Lace Pro license and sends a welcome text and email. The Pro Portal works with CounselEAR, Auditdata, Blueprint and Amplify OMS, and setup takes 10 to 20 minutes in Pro Portal › Settings › Integrations.
Lace Pro and the Pro PortalTwo Neurotone apps work together in every integration.
| App | Who uses it | Its role in the integration |
|---|---|---|
| Pro Portal | Providers and clinic admins, on the web | Where you connect your OMS, choose your settings and follow patient results |
| Lace Pro | Patients, on mobile and web | What your patients get: the integration gives each one a Lace Pro license and their login |
- Save time. No duplicate data entry and no manual license assignment.
- No patient missed. Every qualifying fitting gets a license, even on your busiest day.
- Stay in control. Choose what counts as a fitting and how soon the invite goes out, clinic by clinic.
- See the results. Follow patient usage, adoption and return rates in the Pro Portal.
- Nothing changes in your OMS. The Pro Portal only reads your data. It never edits a patient record.
Automatic (recommended)
You choose the event in your OMS that means “this patient is ready for Lace Pro”, such as a hearing aid fitting or a completed appointment. Each time it happens, the Pro Portal licenses the patient after any delay you set (0 to 90 days). Most practices choose 0 days, so patients start while the fitting is fresh.
Manual
Prefer to decide patient by patient? Set a clinic to Manual, and your team marks patients in your OMS instead: a tag in CounselEAR, a custom field in Auditdata or a patient group in Blueprint. The mark also works at automatic clinics, as a backup. Amplify is automatic only.
Test mode, then go live
Every new connection starts in test mode. The Pro Portal checks everything your OMS sends and shows what it would do, but contacts no patients. When you're happy, click Go live on the Integrations page. Going live is your call: your account manager can help you set up and test, but no approval is needed.
Choose your systemGood to know: One license per patient, ever. If a patient has two fittings, or is both fitted and tagged, they still get one license and one welcome.
Tip: Running more than one system? A practice can use different systems at different clinics. Tick them all on the Integrations page and the Pro Portal sets them up one after another.
Pick your OMS to open its step-by-step setup guide.
| System | Setup guide | What you need first | Manual option | License arrives |
|---|---|---|---|---|
| CounselEAR | CounselEAR setup guide | A read-only API key you create in CounselEAR | Patient tag | Within minutes |
| Auditdata | Auditdata setup guide | An API key from Auditdata support (US or AU) | Custom patient field | Soon after the order status changes |
| Blueprint | Blueprint setup guide | Five access values from Blueprint support, after the owner signs their data release form | Patient group | The next morning |
| Amplify OMS | Amplify setup guide | Nothing; you add six webhooks in Amplify | None (automatic only) | Soon after the hearing aid is saved |
Tip: Start the paperwork early. For Auditdata and Blueprint, the slowest step is getting your key or access values from the vendor. Once you have them, setup in the Pro Portal takes minutes.
Don't see your OMS? Click Let us know on the Integrations page, and we'll add you to the list.
Before you start- A Pro Portal clinic admin login. Only clinic admins see Settings › Integrations.
- Admin access to your OMS, plus any key or values your system needs (see the table above)
- The provider who should receive licensed patients in the Pro Portal
- Your choice for each clinic: Automatic or Manual, and the delay
After setup, the Integrations page shows one tab per connected system, with a status badge:
| Status | What it means |
|---|---|
| Setup not finished | Someone left setup part-way. Open the tab to finish. |
| Waiting for first data | Setup is done; nothing has arrived from your OMS yet. |
| In review (test mode) | The Pro Portal is checking events but contacting no patients. Click Go live when ready. |
| Live | Patients are being licensed. |
| Needs attention | Something stopped working. Open the tab for details. |
| Off | The system is disconnected. |
From each tab you can edit your settings, move a clinic to another system, or Disconnect. Disconnecting stops all data; licenses already issued stay in place.
Getting helpEvery event from your OMS is logged, so we can tell you exactly why a patient was or wasn't licensed. Contact your Neurotone account manager or support with your practice name and, if relevant, the patient's name and fitting date.
