Automated Patient Messaging sends timely, personalized encouragement to your patients based on their training activity. Messages feel like they come directly from you and require no ongoing effort from your team.

What patients see

  • An in-app message card that says “A message from your doctor,” showing your name and photo.
  • If you set up a voice, patients also get a short audio clip they can play.



Personalization

Messages can include details like patient name, your name, streak days, badges earned, percent improvement, and hours trained.


Sending rules (built-in guardrails)

  • Sends only during roughly 8 a.m. to 8 p.m., and not on weekends.
  • Respects the practice’s time zone.
  • At most one message every 48 hours per patient.
  • Messages set to show “on next login” wait 24 hours before they appear.


Setup checklist (about 5 minutes)

  1. Open Patient Messaging
    In the Pro Portal, go to Patient messaging. This is where you turn triggers on or off and add your photo and voice.
  2. Add your photo and (optional) voice
  • Photo: Upload a square photo (recommended 400×400).



  • Voice: Record a short voice sample (30 seconds or more). The system will generate short (<12s) clips for eligible messages. If you skip this, messages will be sent as text.

  • Step 1: Allow microphone access in your browser.
  • Step 2: Press the mic button, read the on-screen script, then stop.
  • Step 3: Review the recording and submit.
  • Confirmation: You’ll see a success screen. You can upload your profile picture here if you haven’t already.



  1. Review the trigger list
    Each row shows the event, channel, and default message. Use the switch to turn a trigger on or off. Changes are saved automatically.
  2. You’re live
    Automated Patient Messaging is on by default. If you have not added voice and photo, the system uses text-only with your name.

  • Improvements such as ≥10% for Speech-in-Noise, Working Memory, and Rapid Speech

Lapse nudges

  • If a patient hasn’t trained in 3, 7, or 30 days, send a one-off nudge via push. Email or SMS can be used when appropriate.


Patient experience

  • A clean card slides up in the app after a trigger is met.
  • The card shows your avatar and name, and a play button if audio is available.
  • Examples: “Great start on Speech-in-Noise training, {patient_name}! Your journey begins here.” or “Ten-day streak unlocked—keep going!”


Managing and previewing

  • Use the trigger list to turn messages on or off any time.
  • Template editing is not available in this release; default copy is provided.


Privacy and control

  • Messages are only sent to patients assigned to you in your clinic.
  • Only the doctor (or clinic admin) can change messaging settings.
  • Voice recordings are used only to create short encouragement clips for your patients.


Frequently asked questions

Do I need to use my voice?
No. Voice is optional. Without it, messages will be sent as text with your avatar and name.

Can I edit the copy?
Not yet. This release ships with high-quality defaults and per-row toggles.

When do messages send?
During daytime hours on weekdays, with a 48-hour cool-down per patient. “On next login” messages wait 24 hours before showing, and all timing respects the patient’s time zone.

What channels are used?
In-app and push by default. For inactivity nudges, email or SMS can be used when needed.

Is this turned on automatically?
Yes. It is on by default. You can toggle the entire feature off or any specific trigger off at any time.

  • Add your photo and a short, clear voice sample to increase connection.
  • Start with the core triggers (first session, streaks, hours) and adjust over time.
  • Keep voice recordings calm, warm, and under 12 seconds for a smooth in-app experience.
