Auditdata Integration Setup Guide
Automatically issue Lace Pro licenses when a hearing aid order reaches your fitting status in Auditdata.
Connect Auditdata to the Pro Portal once, and your patients get Lace Pro automatically. When a hearing aid order reaches the status your practice uses for a completed fitting, the patient gets their Lace Pro license and a welcome text and email. Setup takes about 10 minutes in Pro Portal › Settings › Integrations once you have an API key from Auditdata support. There are no webhooks to set up.
Why connect Auditdata- Save time. No duplicate data entry and no manual license assignment.
- No patient missed. Every qualifying fitting gets a license, even on your busiest day.
- Stay in control. Choose which order statuses count and the timing for each clinic.
- Nothing changes in Auditdata. The Pro Portal only reads your data. It never edits an order or patient record.
You choose for each clinic. We recommend Automatic.
| Automatic (recommended) | Manual | |
|---|---|---|
| What issues the license | An order reaching a fitting status you choose | Your team ticks the Lace Pro Patient field on the patient |
| Work per patient | None | One tick |
| License arrives | Soon after the status changes, plus any delay you set | Within about 15 minutes for new patients and patients with an order in the last 3 days; otherwise at their next order |
Before you startTip: The tag works everywhere. Even at an automatic clinic, ticking the field licenses a patient the rule missed. Each patient gets one license, ever.
- An API key for the Pro Portal from Auditdata support, and your region (US or AU)
- A custom patient field for manual mode, such as a checkbox named Lace Pro Patient. Ask Auditdata support for it in the same message as the key.
- A Pro Portal clinic admin login
- The order status your team sets when a patient leaves with their hearing aids (for example, “Delivered”)
- Connect your Auditdata account
- Confirm your clinics
- Choose your patient tag
- Choose the statuses that count as a fitting
- Choose Automatic or Manual
- Test, then go live
1. Connect your Auditdata account
In the Pro Portal, go to Settings › Integrations, tick Auditdata and click Get started. Paste the API key exactly as issued, choose your Region, then click Test connection.

Set up Auditdata › Connect
Watch out: US and AU keys are different. If the key is refused, check the region first. Keys can end in one or two “=” signs; include them.
2. Confirm your clinics
Check that each Pro Portal clinic is matched to the right Auditdata location. Choose N/A for any clinic that doesn't use Auditdata. The match decides which clinician sees each new patient.
3. Choose your patient tag
Every practice sets this up. It powers Manual clinics and works as a backup at automatic ones. Pick your Lace Pro Patient field option from the list, or type its name. Case doesn't matter; spelling does.

Set up Auditdata › Add patient tag. With no custom fields yet, the screen says what to do.
Watch out: Patients already tagged aren't licensed. Only patients tagged after you finish setup get a license. No custom fields listed? Ask Auditdata support to add one, then reload the page.
4. Choose the statuses that count as a fitting
Tick each status that means the patient has their hearing aids, such as “Delivered”. The list shows statuses your practice used in the last 90 days; use Add status for any that are missing.

A fitting status ticked. Your practice will see its full list.
Watch out: Skip early statuses. “Draft” or “Ordered” would send the welcome before the patient has their devices.
5. Choose Automatic or Manual
- Under Assign licensed patients to, pick the provider who should see these patients in the Pro Portal.
- For each clinic, choose Fitting recorded in Auditdata (recommended) or Manual.
- Set a Delay for automatic clinics. We recommend 0 days, so patients start while the fitting is fresh.

Automate Lace Pro licenses, with a 0-day delay.
Tip: Skip means Manual everywhere. You can automate any clinic later. Manual clinics depend on someone remembering the tag, so automate where you can.
Review and finish
Check the summary, then click Finish setup. Everything can be changed later.

Review and finish, with New Orleans on Manual.
6. Test, then go live
Every new connection starts in test mode (the badge reads In review). The Pro Portal checks every order it reads from Auditdata and shows what it would do, but contacts no patients.
When you're happy, open the Auditdata tab in Pro Portal › Settings › Integrations, click Go live and confirm. The confirmation shows how many test-mode events would have created a license. From then on, each qualifying patient gets a Lace Pro license and the welcome text and email.
Check it's workingGood to know: You decide when to go live. Going live is self-serve, with no approval step. Your account manager is happy to help you set up and test, but the timing is yours.
Watch out: Going live doesn't send test-mode patients. Patients captured during test mode stay as they are; add them in the Pro Portal by hand if needed. Want them licensed automatically instead? Your account manager can switch you live with those patients included.
Move a test patient's order (with your own email and mobile) to one of your chosen statuses, or tick the tag on a new test patient. Data last updated on the Auditdata tab should change, and in test mode the Go live confirmation counts the event. The Pro Portal checks Auditdata on a schedule, so give it a little time; tagged patients are picked up within about 15 minutes.
If something's not working| You see | Fix |
|---|---|
| “Auditdata did not accept that API key” | Check the region matches the key, then paste the full key again. |
| Patients invited before they're fitted | Untick early statuses such as Draft or Ordered in Edit configuration. |
| Fitted patients get nothing | Check their status is ticked and their clinic isn't set to N/A. |
| A tagged patient got nothing | Check the tag name. A patient with no order in the last 3 days is licensed at their next order. |
| A patient was skipped | They need an email or a mobile number that accepts texts. |
| No patients are getting the welcome | Check the badge on the Auditdata tab. In test mode (In review), no patient is contacted until you click Go live. |
- Edit configuration on the Integrations page changes any setting, adds a status or replaces your API key.
- The clinic ⋮ menu moves a clinic to another system or stops Auditdata for it.
- Disconnect stops all data and deletes the stored key. Licenses already issued stay in place.
